    The Shared Service Specialist supports the accounting function within a centralized shared services environment, with primary responsibility for Accounts Receivable (AR) and Accounts Payable (AP) processing, and secondary support for General Ledger (GL) activities. This role requires strong attention to detail, the ability to manage high transaction volumes, and flexibility to take on ad hoc projects and process improvement initiatives as business needs arise.  This position will be based in our Irvine, CA corporate office located close to John Wayne Airport. This is an in office position 5 days per week with light flexibility.

    Responsibilities:

    • Reconciliation of AR and AP statements to ensure no discrepancies exist
    • Monitor AR aging and follow up on past-due accounts
    • Research and resolve payment discrepancies, short-pays, and unapplied cash
    • Coordinate with sales/customer service teams on billing disputes and collections
    • Process vendor invoices, ensuring proper coding, approval routing, and matching (PO/receipt/invoice)
    • Prepare and process payment runs (checks, ACH, wire)
    • Respond to internal and external inquiries regarding invoice/payment status
    • Support monthly close activities, including account reconciliations tied to AR/AP subledgers
    • Help identify and correct discrepancies between subledgers and the GL
    • Assist with intercompany transactions as applicable
    • Assist in Corporate T&E Visa Program
    • Process incoming customer payments (checks, ACH, wire transfers) and apply cash accurately to open invoices
    • Generate and distribute customer invoices in a timely manner

    Required Skills:

    • Strong familiarity with Excel and its various functions
    • Adaptability to pivot between AR, AP, GL, and ad hoc tasks as priorities shift
    • Problem-solving in order to research and resolve discrepancies independently
    • Customer service orientation professional in handling both internal and external inquiries
    • Process improvement mindset proactively identifies inefficiencies and suggests solutions

    Minimum Qualifications:

    • Bachelor’s degree in accounting, Finance, or related field (or equivalent experience)
    • Strong organizational and communication skills, and ability to manage competing priorities
    • High degree of accuracy and attention to detail
    • Effective written and verbal communication skills
    • Comfortable working in a fast-paced, high-volume, deadline-driven environment

    Preferred Qualifications:

    • Proficiency with Sage 500
    • Knowledge of SQL Queries and comfortability with building query connected spreadsheets

     Physical Requirements:

    • Must be able to sit and/or stand for long period of time.
    • Must be able to lift up to 30 lbs. on a regular basis.
    • Occasionally bend, stoop, kneel, crawl and/or climb in order to execute certain aspects of this job.
