    Job description

    Job Title: Centre Secretary to Vauxhall Road and Liverpool Waters
    Department: Principalship
    Salary: £27,598 to £29,911 per annum
    Job type: Permanent, Full-time (35 hours per week)
    The role is accountable for providing professional secretarial support to the Executive Leadership Team, directly supporting the Deputy Chief Executive and the Vice Principal – Student Participation and Development. The role includes the management of multiple diaries, correspondence and information systems, and the servicing of complex meetings to deliver a high quality, flexible and consistent service. The post-holder will be expected to operate proactively with a high degree of efficiency and attention to detail.
    Responsible to: Director of WBL and STEM
    1. Contribute fully to the mission and values statement of the College ensuring its effective implementation in all aspects of College life
    2. Contribute to the College strategic objectives and to actively engage in the annual review
    3. Provide a high level of confidential administrative support to the Executive Leadership Team
    4. Manage and co-ordinate multiple diaries, supporting related logistics
    5. Support the management of complex and confidential correspondence and associated actions
    6. Receive and respond appropriately to enquiries from both internal and external stakeholders, providing a confidential, courteous and effective service
    7. Communicate and liaise with internal and external stakeholders, developing relationships with key individuals and organisations
    8. Provide administrative support in the organisation and delivery of complex meetings, including the preparation, collation and distribution of agendas, minutes of meetings, supporting documentation and resulting actions
    9. Develop, manage and implement information tracking systems within the Executive Management Team
    10. Apply a good knowledge of operating systems and processes to prepare documentation and integrate information from multiple college information sources
    11. Support the management of audit recommendation tracking and updates of the risk register.
    12. Contribute to the coordination of the evening rota, liaising with team members to address availability and cover requirements.
    13. Perform straightforward interpretation and analysis of data or calculations, presenting findings accurately
    14. Plan and prioritise own work activities, responding to college requirements in addition to your own responsibilities
    15. Ensure the accuracy and confidentiality of information held within the role
    16. To support cross college actives as required in particular the key enrolment and invigilation periods
    17. Carry out any other relevant and appropriate duties as determined by the needs of the service and as appropriate to the grade

    • To support cross college actives as required, particularly during key enrolment and invigilation periods.
    • Carry out any other relevant and appropriate duties as determined by the needs of the service and as appropriate to the grade.
    Due to the changing nature of our work, this role profile serves as a framework to outline the main areas of responsibility. You may be required to undertake other activities of a similar nature that fall within the remit of your area of work.
    Essential Criteria
    1. Successful experience of working in a support role at this level or similar
    2. Ability to manage complex diaries to meet conflicting deadlines and priorities
    3. Excellent communication and relationship management skills
    4. Excellent computer literacy - ability to use current IT programmes of the college
    5. Experience of maintaining accurate and comprehensive records
    6. Experience of implementing and developing effective administrative systems
    7. Ability to organise and administer complex meetings, producing agendas, taking minutes and tracking associated actions
    8. High level of discretion and diplomacy
    9. English qualification at level 2 or higher
    10. Mathematics qualification at level 2 or higher
    Desirable Criteria
    1. Experience of identifying areas for change and improvement
