The Office Administrator provides advanced administrative, operational, and business support to senior leadership within an assigned division. This role serves as a key liaison between executives, employees, external stakeholders, and community partners while ensuring efficient office operations and administrative processes.The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment. Your Role in Action:
Executive & Administrative Support
- Provide comprehensive administrative support to Chiefs, Directors, and senior leaders.
- Manage executive calendars, appointments, meetings, and conference calls.
- Coordinate meeting logistics, agendas, materials, presentations, and follow-up activities.
- Prepare, edit, and distribute reports, correspondence, presentations, and executive communications.
- Serve as recording secretary for meetings, committees, and special projects.
- Coordinate conferences, retreats, and organizational events.
- Handle sensitive and confidential information with professionalism and discretion.
Business & Operational Support
- Assist with purchasing, procurement, invoices, and budget-tracking activities.
- Process payroll, personnel, travel, and other administrative transactions.
- Support contract administration and document management processes.
- Track expenditures and assist leadership with budget monitoring.
- Support departmental projects, operational initiatives, and strategic priorities.
Communication & Stakeholder Engagement
- Serve as a liaison between leadership and internal and external stakeholders.
- Develop and distribute communications, reports, meeting summaries, and updates.
- Respond to inquiries and route requests appropriately.
- Coordinate information flow across departments to support organizational objectives.
- Build and maintain effective working relationships across all levels of the organization.
Records & Office Management
- Maintain electronic and physical filing systems.
- Manage records, inventories, directories, and administrative documentation.
- Coordinate office supply purchasing and inventory control.
- Ensure compliance with records retention, privacy, and information security requirements.
- Recommend and implement process improvements to increase efficiency.
Project Coordination
- Assist leadership with project planning, tracking, and implementation.
- Monitor deadlines, deliverables, and action items.
- Support organizational initiatives and cross-functional workgroups.
- Provide guidance and support to administrative staff as assigned.
- Perform other duties as assigned.
What qualifications you will need:
Education:
- High School Diploma or GED required.
- Associate degree preferred.
- Bachelor's degree preferred.
- Equivalent combinations of education and experience may be considered.
Experience
- Four (4) or more years of progressively responsible administrative, executive support, office management, or business operations experience.
- Experience supporting executive leadership, directors, chiefs, or senior management preferred.
- Experience managing multiple priorities and projects in a fast-paced environment.
- Experience with budgeting, purchasing, payroll, travel coordination, and administrative processes preferred.
Knowledge, Skills, and Abilities
- Excellent verbal, written, and interpersonal communication skills.
- Strong organizational, planning, and time-management skills.
- Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, Teams, and related business applications.
- Ability to prepare professional correspondence, reports, presentations, and executive communications.
