    The Contracts Clerk is responsible for accurately processing vehicle sales documentation, funding documentation, deal jackets, and related accounting schedules. This role supports the dealership's compliance, customer service, finance, and business office operations by ensuring all required documents are completed, reconciled, submitted, tracked, and maintained in a timely and accurate manner.

    Qualifications

    • Driver’s License.
    • Clean DMV.
    • Understand Dealership Contract and Lease paperwork
    • Background in accounting

    • High School Diploma (Preferred)

    Job-Specific Expectations

    • Process new and used vehicle deal paperwork received from Finance and Insurance.
    • Verify contracts and leases for lender submission, ensuring all required document are complete and included.
    • Receipt funding received from finance companies for prior-day deals and verify contract funding activity.
    • Post vehicle deals from finance to accounting, verifying gross profit, sales tax, account numbers, vehicle model details, and related calculations; promptly escalating discrepancies to management.
    • Stock in and process payoff activity for trade-ins as applicable.
    • Create journal entries to pay and release flooring on funded or sold units.
    • Review banking activity and EFTS daily for paid contracts; calculate pending contracts in-transit and flooring amounts for daily bank reconciliation.
    • Participate in weekly contracts-in-transit calls and provide timely updates on outstanding items.
    • When required, reconcile commission reports, prepare salesperson and finance manager pay sheets, reconcile related general ledger accounts.
    • Submit service contracts, GAP policies, Recover, manufacturer products, and other ancillary products monthly.
    • Reconcile or assist with monthly schedules, including contracts-in-transit, due customer, service contracts, sales commissions, reserves, and Recovr.
    • Follow up on high payoffs due, missing paperwork, and other unresolved issues as needed.
    • Scan, archive, organize, and securely file deal documentation and completed deal jackets.
    • Maintain a close working relationship with the DMV clerk to assure items on deals are accurate for finalizing DMV
    • Assist with wholesale and dealer trade transaction processing when necessary.
    • Communicate with department managers, including F&l and occasionally with customers to resolve outstanding paperwork issues.
    • Assist with answering phones, cashiering, and other administrative support duties as needed.
    • Complete additional tasks as directed.

    Compensation Range by Position:

    The expected pay for this position is $25.00 to $33.00 per hour and may vary based on factors such as location, skills, and relevant experience.  Some positions may include additional compensation in the form of bonuses or commissions.
