Post-Harvest and Inventory Associate

Summary

Theory Wellness operates state of the art cannabis cultivation, production, and retail facilities across multiple states. We are opening our Minnesota facility and are seeking a detail oriented and reliable Post Harvest and Inventory Associate to support post-harvest operations and hold the inventory record at our Saint Paul site.

This role does two things. It supports the physical work of harvest, trimming, weighing, packaging, and labeling. It also owns the accuracy of what the software says we have: receiving product in, converting bulk material to finished goods, reconciling counts, managing test results, and shipping product out. In a facility this size, the person in this seat is the reason the physical vault and the system agree.

Responsibilities

Post Harvest Operations

• Harvest support: Assist with take downs, room cleans, drying, and curing.

• Trimming and grading: Trim harvested cannabis and separate A-grade flower, joint material, and trim by strain.

• Weighing: Weigh all material on approved, calibrated scales. Record the weight at each stage.

• Packaging and labeling: Package and label flower and other products to SOP and Minnesota label requirements.

• Waste handling: Record and dispose of plant waste per state requirements.

Inventory Receiving and Shipping

• Inbound receiving: Receive deliveries of cannabis and non-cannabis materials. Count and inspect against the packing list. Report any variance before the shipment is accepted.

• System receipt: Enter every receipt into METRC and Dutchie on the day it arrives, so the physical count and the system record agree.

• Outbound orders: Pick, pack, stage, and manifest outbound transfers and retail orders against the transfer documentation.

• Documentation: Confirm that manifests, COAs, and transfer paperwork are complete and accurate for every shipment received and sent.

• Storage: Put received material away in the correct room and location. Keep vault and storage areas organized and labeled.

Inventory Management and Accuracy

• Cycle counts: Perform scheduled cycle counts by room and category.

• Audits: Reconcile physical counts to METRC and Dutchie. Investigate each discrepancy to root cause. Correct the record with documentation.

• Location and status control: Keep package room assignments and package statuses current as material moves through the facility.

• Aging and expiration: Monitor product age and expiration dates. Flag slow moving or expiring inventory to the Production Manager.

• Supply levels: Track packaging, labels, and consumables. Flag reorder needs before they stop a run.

Conversions and Production Tracking

• Bulk to finished goods: Perform conversions from bulk material to finished goods in METRC and Dutchie. Confirm that input weight, output units, and waste reconcile.

• Batch integrity: Keep batch and lot identity intact through every conversion, so finished units trace back to the source harvest batch.

• Yield and loss capture: Record yield, waste, and process loss at each step for production reporting.

• Production logs: Maintain production, sanitation, equipment, and environmental logs. Complete each log on the day the work is performed.

Test Results and Compliance

• Sampling support: Stage and submit lab samples. Track each sample from submission to result.

• Hold control: Segregate and clearly mark material that is on hold, failed, or awaiting result. Keep it out of sellable inventory.

• Regulatory adherence: Follow all Theory SOPs and Minnesota cannabis regulations. Escalate any compliance question before acting.

Facility and Team Support

• Sanitation: Keep post-harvest, packaging, and inventory areas clean, organized, and sanitary.

• Cross department support: Work with cultivation, production, retail, and procurement to keep material moving on schedule.

• Flexibility: Support other post-harvest and production duties as operational needs require.

Schedule

Schedule may vary depending on harvest and production needs. Schedule flexibility is required during harvest and high-volume production periods.

Requirements

Required

1. Strong attention to detail and the ability to perform repetitive tasks accurately.

2. Accurate recordkeeping, and comfort working with numbers, weights, and reconciling counts.

3. Strong systems, software, and computer skills, including spreadsheets.

4. Ability to work efficiently in a fast-paced environment and switch tasks as priorities change.

5. Ability to work a flexible schedule based on the needs of the business.

6. Ability to stand for long periods, up to a 10-hour shift, and lift up to 50 pounds.

7. Valid driver's license.

8. At least 21 years of age.

9. No drug-related felony; ability to pass a comprehensive background check.

Preferred

1. Six months or more in an inventory, receiving, or warehouse role.

2. Experience with METRC and Dutchie, or another seed to sale tracking system.

3. Experience performing cycle counts or inventory audits.

4. Previous cannabis trimming, packaging, or manufacturing experience.
