LeagueApps System Management: Oversee and configure the LeagueApps platform for all NAHA teams. Build custom registration links, set up Travel Season payment plans, and manage recurring billing cycles.
Advanced Administrative Troubleshooting: Serve as the primary administrator for complex LeagueApps tasks, including setting up split-family billing notifications, processing refunds, and resolving payment/account issues.
Tournament Financial Tracking: Maintain comprehensive tracking for all tournament expenses—monitoring registration deadlines, payment due dates, outstanding balances, and total cost per tournament across all teams.
USA Hockey Compliance Management: Track and verify compliance for all players, coaches, and volunteers. Ensure travel coaches fulfill all USA Hockey requirements, including Coaching Education Program (CEP) modules, coaching levels, and up-to-date SafeSport and Concussion training certifications prior to deadline expirations.
Official Rostering: Manage official team rosters and background check verifications in accordance with USA Hockey and affiliate regulations.
Ice Scheduling & Coordination: Collaborate with the Huntsville Ice Sports Center, the NAHA Director of Youth Hockey, and the Director of TPH Huntsville to schedule practices, games, and TPH clinics to optimize ice usage efficiently.
Program Development: Assist in launching Spring and Summer programming that leverages TPH team members from other markets and supplements current offerings for local travel players.
Front-Office Support: Serve as the primary, customer-focused point of contact for NAHA members, calmly and professionally addressing parent inquiries regarding billing, registration, schedules, and general program information.
Digital Presence & Marketing: Manage the organization’s website and social media channels to promote new programming, highlight organizational events, and celebrate player and team achievements.
Event & Administrative Lead: Manage back-end logistics for fundraising events, including ticketing, donor receipts, and sponsorship record-keeping to support leadership goals.
Sponsorship Fulfillment: Ensure corporate sponsors receive agreed-upon benefits across all platforms, including jersey logo placements, rink signage, social media visibility, and website visibility.
Experience: 3+ years in sports administration, athletic operations management, or a high-level administrative role preferred.
Technical Skills: Deep familiarity with sports registration software (LeagueApps expertise preferred) and proficiency with Google Workspace (Docs, Sheets, Drive).
Organizational Skills: Exceptional attention to detail; proven ability to track deadlines, manage complex financial records, and balance multiple team/season schedules simultaneously.
Compliance Knowledge: Working knowledge of USA Hockey administrative requirements, certification pipelines, and compliance platforms.
Communication & Professionalism: Calm, solution-oriented demeanor when addressing sensitive parent concerns, financial queries, or schedule conflicts.
