HR Specialist

Mission of the Role: The HR Specialist plays a key role in keeping our day-to-day people operations running smoothly and reliably. You will independently manage core HR processes across recruitment, employee lifecycle administration, remote team payroll and employee engagement, ensuring important HR activities and deadlines are completed accurately and on time. You will need to prioritise effectively, keep hiring processes moving and balance recruitment demands alongside ongoing HR responsibilities. As we continue to integrate AI into the way we work, you will also be expected to identify opportunities to simplify, automate and improve HR processes using AI and technology.

Key Responsibilities:

HR Operations & Employee Lifecycle

• Manage key employee lifecycle processes including onboarding and orientation, probation and confirmation, employee changes, leave administration and offboarding.
• Maintain accurate employee records, HR documentation, systems and trackers, ensuring recurring HR timelines and follow-ups are completed on time.
• Support day-to-day HR administration and employee queries across our local and remote workforce.

Recruitment

• Manage end-to-end recruitment for assigned roles, including job postings, sourcing, screening, interview coordination, reference checks and offer preparation.
• Manage multiple concurrent vacancies and candidate pipelines during peak hiring periods, prioritising effectively to keep critical positions moving.
• Partner closely with hiring managers while ensuring candidates receive a professional and timely recruitment experience.

Employee Engagement

• Plan and execute quarterly employee engagement activities and support other company-wide employee initiatives.
• Manage activities end-to-end, including planning, vendor sourcing, budgets, communications, logistics and event-day coordination.
• Gather feedback and continuously look for ways to improve the employee experience.

Remote Team Payroll & Administration

• Manage monthly payroll administration for remote employees and contractors, including payroll inputs, employee changes, attendance and relevant adjustments.
• Coordinate with external payroll/EOR partners and ensure payroll information is accurate and submitted within required timelines.

AI, Automation & Process Improvement

• Use AI and other technology to improve the efficiency and quality of recruitment, HR administration, communications and other HR processes.
• Maintain and continuously improve HR workflows, SOPs, templates and trackers.

Key Requirements:

• Diploma or Degree in Human Resources, Business Administration or a related discipline.
• Approximately 2–4 years of relevant HR experience, preferably in a broad-based HR or HR operations role.
• Hands-on experience managing end-to-end recruitment and employee lifecycle administration would be advantageous
• Comfortable taking a hands-on role in planning and organising employee engagement activities and company events, including vendor coordination, logistics and on-the-day execution.
• Highly professional and discreet, with sound judgement when handling confidential and sensitive employee information.
• Strong prioritisation, organisation and follow-through, with the ability to manage multiple vacancies, candidates, HR activities and competing deadlines simultaneously.
• Strong attention to detail, particularly when handling employee records, payroll information and confidential HR matters.
• Good written and verbal communication skills.
• Comfortable using AI tools and technology as part of day-to-day work.
