    Job description

    Your role

    As an Office Assistant, you will be responsible for managing the front desk and supporting various administrative activities across the studio, while providing day-to-day support to the Admin Team and Studio team members.

    The position is offered on a 1-year temporary contract.

    Your daily adventure

    WELCOME VISITORS & INCOMING INQUIRIES
    Manage incoming calls and emails and direct them to the relevant team members

    SUPPORT WORKPLACE MANAGEMENT AND LABOUR SAFETY
    Supervise daily office maintenance and cleaning activities

    PLACE ORDERS FOR NECESSARY OFFICE SUPPLIES
    In accordance with the studio's purchasing procedures and maintain appropriate stock levels of stationery and office materials

    COORDINATE PARKING AND TRANSPORTATION SERVICES
    Manage parking allocations, transportation cards, and related employee requests

    MANAGE THE COMPANY'S INTERNAL LIBRARY
    Keep track of borrowed items, perform regular inventories, and coordinate the purchase of new materials

    COORDINATE EMPLOYEE BENEFITS
    Support benefit distribution and administration, identify new partnership opportunities, and coordinate vendor agreements

    MAKE TRAVEL ARRANGEMENTS
    On behalf of Ubisoft Sofia employees and liaise with travel agencies to confirm bookings

    RECEIVE FLIGHT TICKETS, HOTEL VOUCHERS, AND OTHER TRAVEL DOCUMENTS
    Ensure timely delivery and verify the accuracy of all travel details

    SUPPORT THE ADMINISTRATIVE TEAM IN VARIOUS ACTIVITIES
    Including document filing, reporting, correspondence, and other administrative tasks

    INTERACT AND COMMUNICATE EFFECTIVELY
    With employees across the studio to ensure smooth execution of tasks and assignments

    PERFORM OTHER ADMINISTRATIVE DUTIES
    As assigned by the direct manager

    Your skills

    KNOWLEDGE
    Proficiency in English and the Microsoft Office suite

    COMMUNICATION SKILLS
    Ability to collaborate effectively with team members
    Ability to adapt communication style to different audiences

    ORGANIZATIONAL SKILLS
    Excellent attention to detail with the ability to multitask and prioritize effectively

    ABILITY TO DEVELOP AND MAINTAIN PROFESSIONAL RELATIONSHIPS
