Job Summary
The Administrative Assistant provides support to managers and employees, assists in daily office needs, and manages the company's general administrative activities
Principle Duties and Responsibilities
- Provide administrative support to leaders to enable day-to-day operations for their teams and initiatives
- Comprehensive calendar management: Manage daily calendars, showing flexibility and problem-solving abilities to adjust and prioritize schedules
- Manage inbound communications by answering phone calls, documenting accurate messages, and resolving inquiries
- Coordinate logistics operations by checking in commercial drivers for lumber and pallet shipments
- Generate essential shipping documentation, including receiving paperwork, itemized inventory tags, and Bills of Lading (BOL)
- Scanning and confirming receipts to maintain digital record compliance.
- Maintained vendor relations through routine correspondence with freight partners like UFP Transportation
- Administered procurement processes, creating miscellaneous purchase orders (POs) and maintaining optimal office supply inventory
- Spearheaded employee engagement initiatives by organizing, supplying, and coordinating monthly plant-wide appreciation events
- Partner with the team to build efficiencies within the team and improve alignment and communication
- Handle expense and time entry approvals and provide reporting as needed to measure how we are performance.
- Handle and maintain confidential and sensitive information
Qualifications
- Minimum high school diploma
- Minimum 1 to 3 years of experience in administration/accounting; however, 3 to 5 years is preferred
- Working knowledge and proficiency in the use of computer and business-related software, including Microsoft applications (Excel, Word and Outlook)
- Working knowledge of various office equipment (computer, scanner, etc.)
- Transportation experience is proffered
- Bilingual preferred.
