The Co-Director of Operations provides leadership and oversight for the effective stewardship, readiness, safety, and utilization of UCFM’s facilities, equipment, inventory, and operational resources. The role helps ensure that UCFM’s physical environment and operational systems support ministry excellence, safety, efficiency, and the church’s mission.
The goal of Operations is to make sure the house is ready for the work of the ministry.

Anticipated Time Commitments:
1. Doing ministry/preparing for ministry: 8-10 hours per week
2. Participating in meetings/training: As scheduled or required
Responsibilities/Duties:
1. Inventory Management
• Establish and maintain an accurate inventory of equipment, supplies, furnishings, and operational assets.
• Develop systems for receiving, storing, issuing, tracking, and replacing inventory.
• Conduct periodic inventory audits.
• Monitor supply levels and identify purchasing needs.
• Ensure ministry departments properly account for UCFM-owned equipment and resources.
• Establish procedures for reporting damaged, missing, or unusable assets.
• Recommend opportunities to reduce waste and improve resource utilization.
2. Building Usage & Space Assignments
• Coordinate building and room assignments for ministry and organizational use.
• Maintain an up-to-date facility usage calendar.
• Ensure spaces are properly prepared before scheduled activities.
• Coordinate setup and breakdown requirements.
• Establish procedures for ministry departments requesting facility use.
• Prevent scheduling conflicts and unauthorized use of facilities.
• Ensure facilities are returned to their designated condition following events.
• Coordinate special-event facility requirements with ministry leaders.
3. Florida Boulevard Facilities Management
• Provide operational oversight of the Florida Boulevard campus and its facilities.
• Develop and maintain a regular facility inspection schedule.
• Inspect general building condition; doors, locks, windows, and access points; restrooms; lighting; HVAC systems; plumbing; electrical concerns; furniture and fixtures; parking areas; exterior grounds; signage; fire and life-safety equipment; and visible water leaks, damage, or maintenance concerns.
• Maintain documentation of identified issues and corrective actions.
• Escalate significant safety, property-damage, security, or ministry-readiness concerns to appropriate leadership.
4. Security Inspections
• Work with UCFM leadership and Security Ministry personnel to maintain a safe ministry environment.
• Conduct routine security inspections.
• Inspect doors, locks, gates, cameras, alarms, access-control systems, and emergency exits.
• Identify security vulnerabilities and recommend corrective action.
• Coordinate with the Security Ministry regarding facility-related concerns.
• Maintain documentation of security inspections and unresolved issues.
• Ensure security-related vendors and contractors fulfill their assigned responsibilities.
5. Equipment Inspections & Maintenance
• Establish an equipment inspection schedule.
• Track equipment requiring maintenance, repair, or replacement.
• Ensure critical operational equipment is ready before major events.
• Coordinate repairs with qualified vendors.
• Maintain records of equipment maintenance.
• Identify aging equipment and develop replacement recommendations.
• Ensure equipment is stored appropriately and safely.
6. Lawn Care & Grounds Maintenance
• Provide oversight of the appearance, maintenance, cleanliness, and safety of UCFM grounds.
• Inspect lawn and landscaping regularly.
• Monitor lawn-care contractors and service quality.
• Ensure grass, trees, shrubs, flower beds, and other landscaping are maintained.
• Monitor litter, debris, drainage, and exterior appearance.
• Identify hazards requiring immediate attention.
• Ensure entrances, walkways, parking areas, and gathering areas remain clean and presentable.
• Develop seasonal grounds-maintenance priorities.
7. Vendor Relationship Management
• Serve as an operational point of contact for UCFM vendors and service providers.
• Maintain a current vendor directory.
• Coordinate vendor access to UCFM facilities.
• Monitor vendor performance and service quality.
• Verify that contracted services are delivered according to expectations.
• Review service schedules and completion of work.
• Maintain documentation of contracts, warranties, and service agreements.
• Address service concerns and escalate unresolved issues appropriately.
• Assist leadership with vendor selection and evaluation.
• Seek opportunities for improved service, efficiency, and cost management.
8. Operational Accountability & Reporting
• Maintain a simple Operations Dashboard that gives leadership visibility into facility condition, open maintenance issues, security concerns, equipment requiring repair, inventory status, building usage, grounds/lawn condition, vendor performance, upcoming operational needs, and completed corrective actions.
• Provide leadership with a monthly Operations Report addressing: What did we inspect? What did we discover? What did we resolve? What requires attention?
• Include significant problems, risks, deficiencies, maintenance needs, completed repairs, improvements, replacements, projected expenses, vendor concerns, and leadership decisions needed.
• Track open corrective actions through resolution.
• Communicate urgent safety, security, property-damage, or ministry-readiness concerns when identified rather than waiting for the monthly report.
