Job Description

Provide administrative support to the Community Initiatives Senior VP, Sr. Administrative Assistant and CI direct service programs.    

Responsibilities

  • Coordinate supply and program orders
  • Assist programs with special orders
  • Assist in coordination and management of departmental staff meetings and department calendar
  • Help coordinate, prepare and arrange staff meetings
  • Assist with department events and orders
  • Assist with Corporate Assistance requests through screening applications and submitting for payment
  • Submit purchase orders for payment timely and accurately
  • Reconcile credit card accounts and maintain records of expenses
  • Assist with CI Departmental Committee meetings and document meeting minutes
  • Manage departmental reports and assist the CI programs with client scheduling
  • Other duties as assigned

Qualifications

Knowledge & Skills

Ability to prioritize, effectively organizes time, multitask and work in a fast-paced environment

Excellent organizational skills are essential

Substantial computer experience with Microsoft Suite required

Must have excellent verbal and written communication skills, including proofreading

Be self-directed with ability to make judgments and function independently

Consistently exhibits professional conduct, highly customer service-oriented

Proven ability to work in a team-based environment

Education/Experience

High school degree required 

Minimum of 2 years’ experience as an administrative assistant

Working Conditions

Regular office environment and work schedule

Some local travel required

Must be able to lift 25 lbs.

Other

Must have valid Alabama driver’s license

Must have reliable transportation, proof of automobile insurance commensurate with state law and must meet and maintain eligibility requirements to be insured by UWCA’s insurance.
