    The University of Miami School of Law, Environmental Law Program and Environmental Justice Clinic, has a great opportunity for a Senior Manager, Programs, to work at the Coral Gables Campus.

    The core job of the Senior Program Manager and Paralegal of the Environmental Justice Clinic (EJC) is to facilitate the efficient and effective operation and management of the Clinic.  This includes community engagement, paralegal work, student support, communication, administration, finance/budgeting, and recruitment, as set forth below.

    The Environmental Justice Clinic works with students, clients, and partners on environmental cases and campaigns in communities that have borne the brunt of pollution and other environmental impacts in Miami and South Florida.  Its mission is to educate, train, and inspire the next generation of leaders and advocates for equitable and regenerative environments.

    Primary Duties and Responsibilities

    I.               Community Outreach

    • Participate in and memorialize meetings and interactions with community partners.
    • Facilitate good communication between the Clinic and community partners and organizations, including outreach and engagement with new partners.
    • Attend meetings and events hosted or organized by community partners.  After attending, circulate and file in Box detailed notes on the meeting/event, including Clinic actions or items of interest and personal reflections.
    • Update the Clinic Contact List in Box with any new contacts or partners monthly.

    II.            Paralegal: Client Intake and Case/Campaign Management

    • Organize Clinic internal calendar with all pending deadlines in litigation.
    • Assist with initial intake with initial client interviews and gather relevant background information.
    • Prepare and manage client intake forms, representation agreements, and conflict checks.
    • Respond to and interact with clients to answer questions, gather information and build rapport.
    • Maintain accurate, confidential, and up-to-date case files.
    • Assist in the preparation of legal documents such as affidavits, motions, discovery requests/responses, and court filings. Cite-check and proofread litigation documents for grammar, accuracy, format, and compliance with federal, state, and local rules.
    • File documents with courts or administrative agencies, both electronically and in-person where required.

    III.               Student Support

    • Provide administrative and procedural support to students working on clinic cases and campaigns.
    • Help orient students to clinic systems and file management protocols.
    • Review student hours submitted on Box, update the Student Hours Tracker every week, and circulate the updated Tracker to faculty every week.
    • Coordinate enrichment events for students outside of legal course or case work.

     IV.          Communications and Marketing  

    • Social Media

    o Meet with student social media team monthly to review posts. Submit notes from this meeting before next staff meeting.

    o Ensure social media posts are submitted by interns and posted in accordance with assignments and deadlines set at staff meetings.

    • Newsletters

    o Design template for newsletter and draft stories and updates.

    • Website

    o Gather bios and photos of incoming interns and update the Interns page of the website with the new bios and photos.

    o Ensure photos have uniform background and quality, including use of Clinic shirts.

    o Update the Resources and News and Media pages of the website every month.

    V.             Administration and Events   

    • Prepare and circulate staff meeting agendas before meetings and then circulate minutes of these meetings and action items the day after the meetings.
    • Secure locations and order food/beverages for events and meetings.
    • Coordinate logistics for guest speakers or other guests, including parking.
    • Support faculty in event preparations.
    • Work with IT and AV on technical assistance for clinic space and classroom.
    • Perform monthly check of supplies and inquire faculty as to any supply needs, then order any supplies needed.

    VI.          Finance and Budget

    • Prepare and submit budget report to faculty for all Clinic accounts by the first of each month.  After faculty reviews, finalize the report.
    • Receive reimbursement receipts and relevant information via email, then submit all reimbursements through Workday portal .
    • Submit payments to consultants through appropriate systems and ensure payments are submitted.
    • Submit, report, and review all clinic grants, including drafting grant proposals and agreements.
    • Track grant proposals and updates on the EJC Grant Tracker.  Provide reports at weekly team meetings.

    VII.        Recruitment 

    • Coordinate with student organizations as needed, and especially every December to encourage recruitment in the January-February period before applications are submitted.  Schedule meetings with student organizations at the law school in the November - January period of each year and attend and present at these meetings.
    • Work with facilities staff to secure tabling prior to recruitment period.  Ensure that students are present at each tabling session by circulating a sign-up sheet prior to the spring semester and following up before and during the tabling sessions.
    • Download all student applications from SharePoint and combine into PDFs.  Upload applications to the appropriate file on Box.
    • Create Excel with information on potential interns.
    • Organize interviews for potential interns.
    • Support the faculty with offers and the acceptance process.

    CORE QUALIFICATIONS:

    Education:

    Bachelor’s Degree in relevant field required.  Paralegal certification required.

    Experience:

    Minimum 5 years of relevant experience

    Knowledge, Skills and Attitudes:

    • Ability to communicate effectively, in person and in writing.
    • Understanding of the legal system and legal processes.
    • Skill in completing assignments accurately, on time, and with attention to detail.
    • Ability to analyze, organize and prioritize work under pressure while meeting deadlines.
    • Ability to process and handle confidential information with discretion.
    • Commitment to the University’s core values.
    • Ability to work independently and/or in a collaborative environment.
    • Proficiency in computer software (i.e. Microsoft Office).
    • Ability to lead, motivate, develop, and train others.
