    POSITION: OFFICE ADMINISTRATIVE ASSISTANT – STUDENT FINANCE & ENROLMENT

    Location: Kelowna, BC (in-person)
    Job Type: Full-time

    ABOUT THE ROLE

    Western Community College is seeking an OFFICE ADMINISTRATIVE ASSISTANT – STUDENT FINANCE & ENROLMENT to provide administrative support with a focus on student financial services, student loans, enrolment processes, and general campus administration.

    The successful candidate will work closely with students and internal departments to support accurate and timely processing of student financial and enrolment-related matters. This role requires strong attention to detail, organization, confidentiality, and the ability to work effectively in a student-focused environment. While this is not primarily a front desk position, the successful candidate may occasionally provide reception or front desk coverage as required.

    KEY RESPONSIBILITIES

    • Provide administrative support related to student financial services, student accounts, and enrolment processes.
    • Assist students with student loan and funding-related documentation, applications, follow-up, and general inquiries.
    • Review and maintain student financial and enrolment records to ensure information is accurate and up to date.
    • Assist with processing enrolment documentation, forms, payments, and other student-related administrative requirements.
    • Coordinate with internal departments to follow up on student loan, funding, tuition, and enrolment matters.
    • Respond to student inquiries professionally and provide information or direct students to the appropriate department when required.
    • Maintain accurate electronic and physical records while ensuring confidentiality of student and financial information.
    • Support data entry, reporting, document preparation, filing, scanning, and other administrative activities.
    • Assist with maintaining and updating student files, forms, policies, and related documentation.
    • Support general office administration, including supplies, correspondence, and coordination of routine administrative requests.
    • Provide occasional front desk or reception coverage when required.
    • Assist with student orientations, campus activities, and other College initiatives as needed.
    • Perform other related administrative duties as assigned.

    REQUIRED SKILLS/COMPETENCIES

    • Strong attention to detail and accuracy, particularly when working with financial and student information.
    • Excellent organizational and time-management skills with the ability to manage multiple priorities.
    • Strong verbal and written communication skills.
    • Professional and student-focused approach.
    • Strong interpersonal and customer service skills.
    • Ability to handle confidential information with discretion.
    • Strong computer skills and proficiency with Microsoft Office applications.
    • Ability to work independently and collaboratively with different departments.
    • Strong problem-solving and follow-up skills.
    • Previous experience with student loans, financial administration, or enrolment processes is an asset.

    EDUCATION & EXPERIENCE

    • Diploma or certificate in Business Administration, Accounting, Finance, Office Administration, or a related field is an asset.
    • 2–3 years of experience in administrative, financial, student services, education, or a related environment.
    • Experience with student loans, post-secondary administration, or financial services is an asset.

    Schedule: Monday to Friday, with flexibility to work rotating shifts, including weekends, as required by campus operations.
