The Role and What You'll Do:

Harry Walker Agency is seeking a Coordinator to join our Representation Agent team. This person will provide day-to-day support to our Representative Agents, helping to build and maintain relationships with speakers and their offices and ensuring opportunities and requests are managed efficiently and professionally. The Coordinator will also support the onboarding and ongoing management of non-exclusive speakers and collaboration with other agencies/bureaus.

This is a high-volume, fast-paced role that requires exceptional organization, attention to detail, follow-through, and communication skills. The ideal candidate is able to stay on top of multiple priorities at once, anticipate needs, manage shifting deadlines, and communicate effectively with a wide range of personalities. The Coordinator will work closely with the President of the Agency, Representative Agents, and teams across the organization.

What You'll Do:

• Manage speaker records, calendars, availability, and other day-to-day administrative needs.
• Coordinate with speakers, their offices, and internal teams to gather availability, fees, materials, and other information needed to support opportunities.
• Coordinate scheduling and logistics for speaker and internal meetings and manage projects and communications for the President.
• Support Representative Agents with day-to-day speaker management, communications, and follow-up.
• Assist with onboarding new speakers and liaise with their offices to gather and organize marketing materials, press releases, speech content, and other relevant information.
• Maintain accurate and up-to-date speaker profiles and content across the HWA website and internal systems.
• Work cross-functionally with teams throughout the Agency to ensure information is communicated accurately and opportunities move forward efficiently.

You Have These

• Bachelor’s degree and at least 2 years of professional work experience. Background in politics, talent management, event planning, sales, or a related field is a plus, but not required.
• Excellent verbal and written communication skills, with the professionalism and confidence to interact with a wide range of personalities.
• Exceptional organizational skills and attention to detail, with the ability to stay on top of a high volume of work, manage competing priorities, and consistently follow through.
• A self-starter who takes initiative, anticipates needs, and can move work forward independently while knowing when to ask questions or seek guidance.
• Strong ability to meet deadlines and effectively prioritize and triage work in a fast-paced environment where priorities can shift quickly.
• Ability to think creatively, find solutions, and “live in the solution” when challenges arise.
• Proficiency with Microsoft Word and Outlook; experience with CRM databases and LexisNexis is a plus, but not required.
• Collaborative, positive, and solutions-oriented, with the ability to remain composed and productive under pressure.
• A team player who brings energy, good judgment, flexibility, and a genuine willingness to pitch in wherever needed.

Per local requirements and in the interest of transparency, the rate shown below reflects the prevalent current hiring range for this position. Hiring pay rates are based on a number of factors, including location and may vary depending on job-related qualifications, knowledge, skills and experience. The company strives to provide locally competitive rewards packages, which include base rate along with, as applicable, short- and long-term incentives, growth and developmental opportunities, and robust benefits, such as health care, retirement, vacation and other paid time off, and additional offerings.

Hiring Rate Minimum:

$67,500 annually (minimum will not fall below the applicable state/local minimum salary thresholds)

Hiring Rate Maximum:

$90,000 annually
