    Wood is currently recruiting for a Client Administrator (contract) to join our Middle Eastern Oil & Gas project. The role will be working 5 days a week in our Green Park, Reading office on a 6 - 9 month contract.

    The Role

    The role provides general administrative support to the client team on the project.  You will be involved in many different things day to day such as arranging meetings, greeting visitors, booking travel and researching local accommodation.

Across any major capital project lifecycle, we provide a full suite of solutions from programme and project management, to engineering and design, procurement, construction and project delivery.

    Responsibilities

    • Ensure that all members of the team have the security and network credentials that they need e.g. door access, network access, client.woodplc.com email accounts, access to printing and maintain records of these
    • Arrange for hardware and software as indicated in the contract (PC, desk telephone, MS Office etc.)
    • Arrange travel, schooling, visa's, accommodation etc. for Client's team relocating from overseas
    • Pro-actively intercept / prevent client difficulties and problems
    • Assist with business meeting planning
    • Develop and manage spreadsheets
    • Develop and maintain a good working relationship with Client’s teams in their home office where this will be helpful to expedite responses
    • Develop and maintain a good working relationship with the Wood team
    • Request for help, advice and guidance on UK culture and services
    • Diary management for the Client team
    • Arrange meeting room bookings and hospitality
    • Set up and maintain paper and network filing systems
    • Collect and distribute received correspondence.
    • Meet and greet and the central point of contact for all visitors
    • Prepare correspondence, minutes, procedures, presentations, reports, documents etc. where terms may be technical or complex; adjust spelling, punctuation and grammar as appropriate
    • Combine material from a variety of sources in order to produce reports, and distribute as required / dictated by the Client
    • Screen incoming telephone calls
    • Create material required for presentations
    • Organise and maintain stationery and sundry supplies

    Expected:

    • Good previous experience in an administrative and client facing role is required
    • Experience of working with overseas clients

    Desirable:

    • Experience supporting Senior Executives
    • Experience coordinating travel arrangements

    • Organised and efficient with ability to adapt quickly
    • Strong organisation, planning and administrative skills, with the ability to manage tasks efficiently and adapt quickly
    • Confident communicator with good interpersonal skills, able to collaborate and build relationships with stakeholders at all levels across diverse cultures
    • Solid Microsoft office experience, supporting effective documentation, reporting and day-today administrative activities
    • Demonstrate strong problem solving capability, with a proactive approach to resolving challenges and improving process
