    Overview / Responsibilities

    Wood is currently recruiting for a Customer Service Advisor on a permanent located in our New Plymouth office.

    This position is responsible to complete all activities required to support, develop and grow Wood Training’s customer base and revenue. You will serve customers by providing product and service information, coordinate and where required direct support to resolve client product and service challenges across the customer services team.

    Responsibilities

    • Maintain a high level of quality across calls and administrative duties
    • Timely communication of query resolution to internal and external customers
    • Timely, professional, accurate and efficient handling of customer enquiries
    • Contribute positively to team meetings and company culture
    • Fully comply with all company Health and Safety requirements, including reporting all accidents, near accidents, and hazards
    • Arrange flights, accommodation and training requirements for off-site training
    • Assist with managing the training venues – catering, room set up, laptops and projectors
    • Assist in training logistics – printing and collation of materials, equipment hires, laptops,
    • At times, cover opening or closing the site in the morning or at night
    • Management of reception area
    • Support, training and streamlining of procedures and processes within Customer Care
    • Carry out OPITO bookings, certificates, uploading BOSIET photos, producing cards and reviewing the weekly OPITO report
    • Ensuring all OPITO bookings and enquiries are in line with the OPITO procedure and guidelines
    • Processing of course packs and On Job Assignments into the Student Management System in alignment with the Student Management System Manual (NZ)
    • Complete administrative duties stemming from sales activities
    • Ensure CRM and SMS system are kept up to date with customer interactions
    • Entering Student Registration and evaluation forms
    • Uploading of NZQA credit
    • Update information in Mailchimp
    • Prepare and perform appropriate follow-up communications, including the sending of collateral materials to prospective customers
    • Comply with the Customer Service Standard
    • Any other duties as directed by the Sales and Customer Services Manager

    Skills / Qualifications

    • Initiative, discretion and judgement of a high order and able to maintain confidentiality
    • Previous experience in an administrative role providing direct support to leadership roles
    • Self-motivated reliable and willing to work flexible hours
    • Strong time management and effective organisational skills, lateral thinker, works well under pressure and achieves work deadlines in an environment of competing priorities
    • Strong interpersonal communication and negotiation skills
    • Demonstrated high level of computer literacy skills, word processing packages and various computer applications
    • An ability to interact effectively with a wide range of people
    • An experienced team player
    • Can work autonomously, effectively managing workload without continual guidance
    • Energetic, willing and ‘can-do’ attitude
    • Ability to analyse situations and take corrective actions
    • Excellent quality, attention to detail, and organisational skills
    • Excellent communication skills
