    Position Title: Finance and Administrative Assistant

    Position Location: Accra

    Reports To: Senior Finance Officer

    Contract Term: 2 years with possibility of renewal

    Salary Level: SUP5

    Languages Required: English

    WUSC is currently looking for a Finance and Administrative Assistant to provide comprehensive financial and administrative support to the WUSC Ghana Country Team, ensuring smooth financial operations and efficient program delivery.

    BACKGROUND

    WUSC (World University Service of Canada) is a Canadian global development organization working to catalyse positive education and economic outcomes for young people. We bring together and collaborate with a diverse network of partners—including students, volunteers, schools, governments, not-for-profits, and businesses—who share this mission. Together, we influence systems change and foster inclusive, youth-cantered solutions that enable young people to thrive and belong.

    We work with all young people, with a focus on women and displaced populations. WUSC currently operates in 28 countries across Africa, Asia, the Middle East, and Latin America and the Caribbean, as well as in Canada, with an annual budget of approximately CAD $65 million. Our global team includes over 100 staff in Canada and more than 250 staff internationally, implementing a diverse portfolio of development projects in collaboration with numerous multilateral and bilateral donors, and philanthropic foundations.

    RESPONSIBILITIES

    Under the supervision of the Senior Finance Officer, the Finance and Administrative Assistant will be responsible for providing strong financial and administrative support to ensure compliance with WUSC’s financial policies and procedures and efficient day-to-day operations of the Ghana office.

    Finance and Accounting

    • Support the Finance Officer and Finance Manager in ensuring compliance with WUSC finance policies and procedures.
    • Review and analyze invoices and payment requests for vendor payments.
    • Scrutinize staff travel and activity advances and liquidations for errors, completeness, and compliance with WUSC policies.
    • Provide financial guidance and first-line support to project teams and volunteers.
    • Manage petty cash to ensure efficient cash flow for small purchases and reimbursements.
    • Ensure proper electronic and physical filing of financial documentation.
    • Perform other finance-related duties as assigned.

    Administration and Logistics

    • Oversee the daily management of the office.
    • Compile staff timesheets and maintain updated leave schedules.
    • Assist with procurement of inventory and office supplies under the supervision of the Administrative Officer.
    • Maintain a register of office equipment and inventory, ensuring proper use and maintenance.
    • Manage incoming and outgoing courier services and correspondence.
    • Support logistics arrangements for workshops, meetings, and conferences.
    • Arrange accommodation and travel for staff and volunteers.
    • Ensure timely provision of office supplies and maintain stock levels.
    • Maintain the vehicle log and monitor fuel and mileage levels.
    • Ensure the office environment is safe, clean, and eco-friendly.
    • Perform other administrative duties as assigned

    • Ensure high standards of prevention and response measures for SEAH are in place consistent with the WUSC's safeguarding policies and WUSC's Code of Conduct.

    QUALIFICATIONS AND COMPETENCIES

    Education

    • Diploma or Bachelor’s degree in Accounting, Finance, Business Management, or a related field.

    Experience & Competencies

    • Experience in financial administration, accounting, or a similar role within an NGO or corporate environment.
    • Advanced computer skills, including proficiency in Microsoft Word, Excel, and Outlook.
    • Familiarity with accounting software such as Sage 50 Accounting.
    • Strong organizational and analytical skills, with high attention to detail.
    • Ability to work effectively in an intercultural, diverse, and complex work environment.
    • Strong interpersonal and teamwork skills with the ability to communicate clearly in English (both written and oral).

    Languages

    • Complete fluency in English is required.
