SUMMARY

Xactus is seeking an Account Setup Coordinator who will be responsible for the accurate and timely configuration and activation of client accounts and associated features within the company’s proprietary system. This role supports both initial onboarding and post-onboarding activities, including the addition of new products, sub-accounts, and loan officer accounts. The Coordinator will follow established procedures to set up vendor-level subscriber codes and ensure access is granted in compliance with internal protocols and client specifications. The position requires strong attention to detail, system navigation skills, and a commitment to maintaining data accuracy and service excellence.

This is a full-time remote/work-from-home position. Monday - Friday, 9:00am - 5:30pm EST.

ESSENTIAL FUNCTIONS

Essential Duties and Responsibilities:

• Set up and activate new client accounts in the proprietary system upon onboarding.
• Add additional product configurations based on client needs or updates.
• Configure sub-accounts, branch accounts and loan officer accounts with appropriate permissions and features.
• Create and assign vendor-level subscriber codes while following procedural requirements.
• Review and confirm setup accuracy prior to activation.
• Coordinate with internal departments to validate access levels and client requirements.
• Ensure compliance with setup standards, data integrity, and procedural guidelines.
• Provide updates to internal stakeholders on the status of setup tasks.
• Document work clearly within internal systems and update client profiles accordingly.
• Participate in ongoing training to stay current on system enhancements and product offerings.

Tools and Access:

• Xactus360/BackOffice
• Internal CRM and communication tools (e.g., FreshDesk, CPQ, Jotform JIRA)
• Secure access management systems for subscriber code setup
• Microsoft Office Suite (Outlook, Excel, Word, Teams)

EDUCATION AND/OR EXPERIENCE:

• High School diploma or equivalent required
• 1–3 years of relevant customer service or administrative experience
• Prior experience with account setup or data entry preferred
• Experience working in a technical or software-enabled environment is a plus
• Demonstrated ability to learn and work within proprietary systems

• Remote/work-from-home position.
• High-speed internet is required (50 mbps minimum).
